Hotel Boulderado 2010 Wedding Show

Information, Rules, and Regulations

REGISTRATION FEES:

* Premium Booths:  $550 ~ 6’ skirted rectangular table

  • $50 Discount off Premium Booths for booking by September 1st.
  • $75 Additional Discount off Premium Booths for Members of 2010--2011 Boulderado Vendor Resource Program.

* 36” Round Table:  $175 ~ unattended with business cards and brochures only

* Bag Inserts:  $200 ~ Size of item must be approved (limited to five vendors)

REGISTRATION INCLUDES:

* Mailing list of attending brides

* A listing of your company’s contact information in the wedding show brochure insert

  (36” round tables and “bag insert” vendors not listed)

* Complimentary continental breakfast

REGISTRATION DEADLINE:

* 5:00 p.m. on Tuesday, October 19, 2010

* The hotel reserves the right to limit the number of vendors in each category.

* Booth placement will be assigned by the Hotel Boulderado to ensure a balance of vendors.

* Please complete the enclosed application and return it with your payment.

* All payments are non-refundable.

*The Hotel Boulderado is the show’s exclusive venue & caterer.  Applications from outside venues       

  and/or caterers are not accepted.

ADVERTISING:

* 5,000 full color postcards mailed to current qualified brides. Postcards will also be provided to all

   vendors upon request.

* Advertising to include Wedding Sites and Services, Brides Colorado, The Perfect Wedding Guide,

   Boulder Camera, The Colorado Daily, KBCO, The Knot online, the Hotel Boulderado website, and   

   email marketing, Twitter & Facebook.

EXHIBIT HOURS:

11:00 a.m. – 2:30 p.m., Sunday, November 7, 2010.

BOOTH SET-UP & BREAK DOWN:

  • Set-up begins at 9:00 a.m.  All Premium Booths must be set-up by 10:30 a.m. Premium Booths must be staffed during the entire show.
  • Vendors registering for the 36” round table must set-up and tear down own materials.  All materials left after 3:00 p.m. will be disposed of.  No attendant may be present to staff the 36” round tables during the show.
  • For booths located on the Mezzanine, loading and unloading is available via the alley, north of the main entrance on 13th Street.  This is a 20-minute loading zone. Access to the service elevator is through the door at the back of Q’s restaurant.
  • The Otis Elevator in the main lobby is STRICTLY PROHIBITED to vendors transporting equipment to the Mezzanine level.
  • Absolutely no booth tear down will be allowed prior to 2:30 p.m.
  • Vendors who tear down before 2:30 p.m. will not receive the bridal mailing list.

PARKING:

All hotel parking is by valet only; fee of $1.25/per hour with a two-hour minimum.  There is free parking available at all of the City of Boulder Municipal lots and street meters on Sundays.

PRIZES:

Vendors are permitted to host and manage individual booth drawings at their discretion. The Hotel Boulderado will provide its own door prize drawings.  If you would like to donate a prize for the giveaways, please call Yuko Ishige by 10/20/2010 at 303-440-2880.

FOOD & BEVERAGE:

  • A continental breakfast for vendors will be provided between 9:00 a.m. and 10:30 a.m.
  • Please refrain from eating the wedding show food until offered by hotel staff following the show.

DISPLAY RESTRICTIONS:

  • No booth display element may extend beyond contracted booth boundaries.
  • All displays, demonstrations, interviews or other activities must be confined to the limits of the exhibitor’s assigned booth.
  • During exhibit hours, no audiovisual device or sound system shall be operated in a manner that disturbs or interferes with other exhibitors. 
  • Attention attracting, noise making devices, loudspeaker systems, and flashing lights are expressly prohibited.
  • Glitter and confetti are not allowed.
  • Please DO NOT tape, nail, or tack anything to the walls or woodwork.
  • Please be extremely careful to avoid damage to hotel property, as you will be held responsible for any damages.
  • Please leave your area as clean as possible after the show.

SUBLETTING OF SPACE:

No exhibitor shall assign, sublet, or apportion the whole or any part of the space assigned, and the furnishings therein, or have representative equipment or material from firms other than his/her own in the exhibit space.  Only one exhibitor (company) is permitted per booth space.  Failure to adhere to this policy will result in removal of exhibit booth and forfeiture of exhibit fees.

CANCELLATION POLICY:

Once deposit and signed contract are received, payment is strictly non-refundable.  No exceptions will be made.
